Deleting your data
You can ask us to delete information we hold about you at any time, and you do not need an account or a reason to ask. This page tells you exactly how, and what happens next.
1. Which of these are you?
The steps differ, because our role differs.
A) You contacted us, or your practice is a Roco client. We decide what happens to that information, so we can act on your request directly.
B) You are a patient or customer of a practice that uses Roco. Your details reached us only because that practice asked us to run its enquiry channels. The practice decides what happens to them; we hold them on that practice’s behalf and act on its instruction.
2. If you are in group A — ask us directly
Email [email protected] from the address you contacted us with, with the subject line “Delete my data”. Tell us the name and practice you used, so we can find you. If you have an account with us, saying so lets us close it in the same step.
We reply to confirm we received it, and we complete verified requests within 30 days. If we need something to verify it is really you, we will ask for the least we can.
3. If you are in group B — start with the practice
Contact the practice you were dealing with and ask them to delete your details. They can instruct us and we act on it. If you cannot reach them, or you would rather come to us first, email [email protected] with the subject line “Patient data deletion” and name the practice — we will pass it on, tell you we have, and act as soon as they instruct us.
We do this rather than deleting on our own because the record belongs to the practice, and a healthcare practice has its own legal duties about what it must keep. Deleting behind its back could put it in breach of them.
4. To stop messages without deleting anything
If your aim is only to stop hearing from us, you do not need a deletion request. Reply STOP to any text message, or use the unsubscribe link in any email, and it takes effect straight away. We keep a minimal record that you opted out — that is what stops us contacting you again.
5. What we delete, and what we cannot
We delete the information we hold about you, including anything in an account you had with us. Backups roll off on their own schedule and are not used to restore deleted records.
We keep the little we are required to keep: records of a signed agreement and the transactions under it, and proof that you opted out of messages. Legal, accounting and dispute obligations set those, not our preference. We will tell you if any of it applies to your request.
6. Accounts you connected through another platform
If a practice connected its Facebook, Instagram or Google business account to Roco, disconnecting it there stops any further access immediately. To have what we already received deleted as well, send the request above and name the account.
