Privacy Policy
1. Scope
This Policy describes how Roco Agent (“Roco,” “we”) handles information collected through the Roco website, chat assistant, and related communications (the “Site”). It covers visitors and business contacts — typically healthcare practice owners and staff.
2. Patient data — a different role
Roco also processes information on behalf of the healthcare practices that use our services. For that data we act as the practice’s HIPAA business associate, under a Business Associate Agreement signed with the practice before service starts: the practice’s own privacy policy governs, and requests about it should go to the practice. This Policy covers only the Site.
3. Information we collect
Business contact information you provide: your name, practice name, role, email, mobile number, and your messages with us. If you have an account with us, we also hold what you enter in it. We set two strictly necessary cookies to keep you signed in — one for the passphrase-protected pages and one for client accounts. The Site also loads Google’s advertising tag (Google Ads), which sets Google’s own cookies so we can measure whether our ads lead to visits to this Site. It runs only on this Site, never on the pages we operate for practices’ patients.
4. How we use your information
To respond to inquiries, schedule demonstrations, provide and improve our services, send the messages you have opted in to receive, and meet legal obligations.
5. How we share your information
Only with service providers who operate the Site and our communications on our behalf under contract; with Google, through the advertising tag described in Section 3; and as required by law. We do not sell your personal information, and we do not share your phone number or SMS opt-in with third parties for their marketing.
6. Text messaging
Where you give us your mobile number on one of our booking, voucher or chat pages — these run at go.rocoagent.ai, and https://go.rocoagent.ai/book/9e10bd49-2dcf-455b-b650-bfaa42e4c92a is a live one you can open — you can tick a box to receive appointment- and voucher-related text messages from Roco Agent at that number. The box stands on its own, is never pre-ticked and is never required: the request, the purchase or the conversation completes without it. Its label reads, in full: “I agree to receive appointment- and voucher-related text messages from Roco Agent at the mobile number I provided. Consent is not a condition of purchase. Message frequency varies. Message and data rates may apply. Reply HELP for help and STOP to opt out at any time.” We send no marketing text messages. We do not sell your phone number or your SMS opt-in, and we do not share either with third parties for their marketing.
Where a practice we work for sends text messages to its own patients, that program is registered with the carriers under the practice’s own name before any message is sent and runs on a number dedicated to that practice. Roco operates it for the practice as its service provider and the practice is the sender of record; what we do with that data on its behalf is covered by Section 2 rather than by this Section.
7. Advertising & measurement
The Site loads the Google Ads tag to measure our own advertising (Section 3). It carries no other advertising pixels or tracking scripts, and we will update this Policy before adding any. Patient data we process for a practice (Section 2) is never used for Roco’s own marketing and is never sold. Where we measure a practice’s own advertising on its behalf, we send that practice’s advertising platforms only the ad click identifier the platform itself created, together with the fact and value of a completed visit — never names, phone numbers or email addresses in any form (hashed or not), the service a patient asked about, their messages, or any health information.
8. Children
The Site is a business service and is not directed to children. We do not knowingly collect information from children under 13.
9. Security & retention
We use reasonable administrative and technical safeguards, including encryption, to protect your information, and retain it only as long as needed for the purposes above or as required by law.
10. Your choices
You may request access to, correction of, or deletion of your information at any time. Step-by-step instructions are on our data deletion page at rocoagent.ai/delete. Residents of certain states may have additional rights under state law; we honor verified requests as required.
11. Changes & contact
We may update this Policy; the current version is posted on the Site with its effective date.
